Planning and Communication
The AGM: (Skype/Zoom): usually in October or early November, when we:

Review the year and discuss matters arising
​

Review finances and decide priorities for the coming year.
​

Identify work to be done over winter by VYC and what we will do ourselves.
​

Decide if we want a Work Week and make plans if we do.
Ad hoc discussions and planning: We keep in touch by phone, text, email with Zoom meetings when needed. This is important if there are issues the next person to go out needs to be aware of.
Documentation:
Documents are organised into files and kept in the chart table area:

Ships Papers and Documentation, including Proof of Ownership, SSR, Insurance notes, Information about the syndicate, finances etc.

Sailing Season Records: ROTA, TEPAI payments, Ships Log, Record of engine hours and oil changes, notes about issues arrising, handover sheets etc.

Maintenance Manuals and Operating Procedures: These include user guides and mainenance manuals for the electronics, engine, windlass etc.

Juli Websites
The introduction to Juli website: This aims to provide information about the boat for family or friends, who are be coming out to join us for a holiday; or for people who are interested in becoming a member of the syndicate.
The Ops Notes website: This is a resource for syndicate members and contains information to assist with operating, servicing, or repairing things; It records important dates e.g. how, when to deal with time limited features e.g. surveys, replacement of flares, gas canisters for life jackets, or TEPAI etc.
It also provides the location of things that are stowed onboard - spare parts, tools, charts and first aid equipment etc., plus contact details for companies who might be able to provide parts, servicing or assistance with updating paperwork etc.
